Pen vs. Keyboard? Why the Tool Doesn’t Matter as Much as You Think for Personal Knowledge Management

Humans have always adapted their note-taking tools to the technologies of their time. From clay tablets and hieroglyphs to parchment notebooks and digital apps, the medium may have changed, but the purpose remains the same: to document information, externalize thought and/or support understanding (Aldrich, 2024; Siegel, 2024). Each medium from papyrus scrolls to tablet computers was once novel, often met with skepticism, yet ultimately served as a tool for memory and meaning-making. As Aldrich’s PKM timeline illustrates, people have always leveraged what was available, quill or keyboard, to extend cognition. The key insight: no medium holds a monopoly on effective thinking; it’s not the medium, but how we use it, what we actually take notes of and how we use these notes that counts (Lohner, 2023; Luo et al., 2018).
Questionable Assumption
Despite a long history of evolving note-taking tools, a persistent modern narrative claims that handwritten notes are inherently superior to digital ones for learning. One study that helped revive this belief was Mueller and Oppenheimer’s (2014), which found that students taking longhand notes performed better on conceptual questions than those typing. The authors argued that typing encourages shallow verbatim transcription, whereas handwriting fosters deeper summarization. These findings resonated widely. Many educators and media outlets took this as definitive proof that handwriting was cognitively superior. As a result, some instructors went so far as to ban laptops in class (Gurung, 2021; Dynarski, 2017).
But this conclusion stretches the evidence. Mueller and Oppenheimer showed an average effect under specific conditions (e.g., brief lectures without review), not universal superiority. The key factor was not the medium but the processing depth. A laptop user can also summarize actively, while a pen user may still transcribe mindlessly. The myth rests on a faulty either/or: that handwriting ensures engagement, while typing prevents it. In reality, the critical distinction is between transformation (restructuring content) and transcription (copying) – and both can occur in any format.
Subsequent studies call the original findings into question. A direct replication by Urry et al. (2021) with a larger sample found no significant difference in learning outcomes between handwriting and typing. Their meta-analysis of similar studies showed that any average benefit of handwriting was statistically negligible. Likewise, Aufenanger and Bastian (2020) found that note-taking quality varies widely between individuals, regardless of medium. No single method proved comprehensively superior.
What often reduces learning outcomes isn’t typing, it’s distraction (Kraushaar & Novak, 2010; Gazzaley & Rosen, 2017; Hari, 2022). Laptops can invite multitasking, which undermines focus. Yet this is a usage issue, not an inherent flaw of the device. Belief in the handwriting myth also persists due to correlation-causation confusion and a form of tech nostalgia, i.e., the romantic idea that analog tools are somehow more “authentic” or cognitively rich. These biases lead us to overvalue the medium and overlook the actual behaviors that drive learning.
The Consequences
Clinging to the belief that only handwritten notes are “real” or effective leads to several unintended consequences:
- Resistance to digital tools: Students and scholars may avoid technologies that could enhance their workflows (such as searchable note databases or multimedia annotations) due to the mistaken belief that digital notes are inherently inferior (Grahame, 2016; Lohner, 2023).
- Missed opportunities for innovation: A rigid analog-vs-digital mindset can prevent individuals from exploring hybrid approaches that leverage the strengths of both mediums.
- Superficial solutions: Instructors may default to banning laptops rather than fostering better note-taking strategies. This oversimplifies the issue and ignores the deeper challenge: improving the quality of engagement, not policing the format.
Ultimately, this binary framing—pen or keyboard—distracts from what matters: thinking while taking notes and thinking with your notes.
Some Remedies
If the medium doesn’t foster effective learning, what does? These research-informed strategies can help move beyond the analog vs. digital debate:
- Focus on (learning) strategies, not tools: Good notes synthesize, structure, and rephrase content. Effective note-taking is note-making—whether typed or handwritten. It’s not about the motor activity, but the cognitive engagement and the related depth of processing (e.g., Luo et al., 2018).
- Experiment to find what works: Note-taking isn’t one-size-fits-all. Rather than adhering dogmatically to pen only or keyboard only, treat methods as flexible tools to suit different contexts and tasks. Try switching between analog and digital formats to see which supports focus, comprehension, and creativity in various situations.
- Combine analog and digital: Digital notes offer full-text search, tagging, fuzzy linking, and cloud storage. Analog tools offer free-form expression and tactile engagement. Combine both—for example, handwrite on a tablet, then annotate or tag your notes digitally.
- Address the real issues, such as distractions: If digital notes aren’t working, ask why. Often the problem is distraction, not the tool itself. Whether you write or type, avoid thoughtless transcription. Passive copying wastes time and creates cognitive load. Instead, transform content into your own words, concepts, or diagrams. If you don’t engage mentally, the medium won’t save you. Additionally, disable notifications, use focused apps, or adopt structured review routines. Conversely, analog methods may limit speed or organization. Identify and tackle the real obstacles like multitasking or lack of follow-up not just the medium (Carter et al., 2017; Artz et al., 2017).
Concluding Thoughts and Impulses for Reflection
The handwritten vs. digital debate is a false dichotomy and a distraction. Effective knowledge management depends on your engagement, not your equipment. Both formats can support deep learning—if used well, however, they have to align with your goals, context, and habits. Research shows no universal winner—what matters is active engagement. The most powerful question is not what do you write with? but what do you do with your notes?
Both romanticizing handwriting and demonizing technology risk missing the real issue. Digital notes can be just as thoughtful as paper ones, and analog methods can benefit from digital support. The best system is the one you consistently use – one that supports engagement, recall, and iteration.
Take a moment to reflect: are your note-taking habits shaped by evidence, or by assumption? Try a small experiment this week—switch formats, mix methods, and observe what actually supports your thinking. Most importantly, assess the quality of your notes. Are you using them to process ideas or just to record them?
Let go of the myth of a perfect tool. Focus on building solid thinking and working practices regarding note-making that turn information into insight. Your future self, reviewing those clear, meaningful notes, on screen or paper, will thank you.
